Terms & Conditions

Review the booking terms, cancellation policies, and conditions governing your safari experience with Golden Plains Adventures.

1. Acceptance of Terms

By booking a safari tour with Golden Plains Adventures, you agree to be bound by these Terms and Conditions. If you do not agree with any part of these terms, please do not complete your booking. These terms supersede any previous agreements and apply to all bookings made directly with us or through our authorized agents.

2. Booking & Reservations

Booking Process: All bookings must be made through our website, email, or phone. A booking is confirmed upon receipt of your deposit and signed confirmation.

Accuracy of Information: You agree to provide accurate and complete information when making a booking. Any errors or omissions in your information are your responsibility.

Passport Requirements: All travelers must have a valid passport with at least 6 months validity from the date of travel. Visa requirements vary by country and are your responsibility to verify and obtain.

Age Restrictions: Certain tours may have age restrictions. Please verify age requirements before booking.

3. Payment Terms

Deposits: A non-refundable deposit of 30% is required to confirm your booking.

Final Payment: The remaining balance is due 60 days before your tour departure date.

Payment Methods: We accept credit cards, bank transfers, and other methods specified at checkout.

Currency: All prices are quoted in USD unless otherwise stated. Currency conversion fees are the responsibility of the payment method provider.

Price Changes: While we strive to maintain quoted prices, we reserve the right to adjust prices for significant currency fluctuations or cost increases beyond our control.

4. Cancellation Policy

Cancellation Timeline:

  • More than 90 days before departure: 90% refund (minus 10% fee)
  • 60-89 days before departure: 50% refund
  • 30-59 days before departure: 25% refund
  • Less than 30 days before departure: No refund

Cancellation Request: All cancellations must be submitted in writing via email or registered mail.

Force Majeure: In cases of force majeure (natural disasters, pandemics, wars), we will offer date changes or credits instead of refunds.

5. Travel Insurance

We strongly recommend purchasing travel insurance that covers trip cancellation, medical evacuation, and emergency medical expenses. Travel insurance is NOT included in your tour price. We can assist you in purchasing insurance, but it is your responsibility to obtain adequate coverage.

Travel insurance is particularly important for safaris due to remote locations and potential medical emergencies.

6. Health & Physical Fitness

Fitness Requirements: Some safari activities involve walking on uneven terrain and long hours in vehicles. You must be in reasonable physical health to participate.

Medical Conditions: If you have any medical conditions, please inform us before booking. Certain conditions may restrict participation in specific activities.

Vaccinations: Yellow fever vaccination is recommended. Please consult your doctor regarding health requirements 4-6 weeks before travel.

Pregnancy: We do not recommend safari travel after 20 weeks of pregnancy due to limited medical facilities in remote areas.

7. Guest Behavior & Conduct

All guests must:

  • Respect wildlife and maintain safe distances from animals (as instructed by guides)
  • Follow guide instructions at all times
  • Comply with all local laws and regulations
  • Treat lodge staff and other guests with respect
  • Not engage in illegal activities or substance abuse
  • Not damage property or wildlife habitats

We reserve the right to refuse service or remove guests from tours who violate these conduct rules. No refund will be provided in such cases.

8. Liability Disclaimer

Wildlife Risks: Safari activities involve inherent risks. While we take all reasonable precautions, wildlife encounters cannot be guaranteed safe. Participants assume all risks associated with safari activities.

Medical Emergencies: Remote safari locations may have limited medical facilities. Medical evacuation may require air transport at significant cost. Evacuation costs are not included in tour prices.

Weather & Natural Events: We are not responsible for cancellations or changes due to weather, natural disasters, or other unforeseeable events.

Transportation: We are not responsible for delays or accidents involving transportation services.

Third-Party Services: We are not liable for services provided by independent contractors, including guides, drivers, lodge operators, and transportation companies.

9. Dispute Resolution

Complaints: Any complaints must be submitted in writing within 30 days of tour completion.

Negotiation: We will make good-faith efforts to resolve disputes through direct communication.

Mediation: If negotiation fails, disputes may be submitted to mediation.

Arbitration: Any unresolved disputes will be submitted to binding arbitration under applicable law.

10. Governing Law & Contact

Jurisdiction: These terms are governed by the laws of Kenya and applicable international travel laws.

Entire Agreement: These terms constitute the entire agreement between you and Golden Plains Adventures regarding your safari tour.
